Real Estate VA

Overview

We are seeking an experienced and versatile real estate VA to support real estate businesses in achieving their goals. You’ll take on a wide range of responsibilities, acting as the backbone of daily operations while delivering exceptional service and results.

 

Responsibilities

Sales Support:

  • Manage and optimize CRM systems to maintain a seamless pipeline of leads and client interactions.
  • Conduct lead generation through online research, cold outreach, and nurturing potential clients.
  • Schedule and confirm appointments, meetings, and property showings with clients
  • Prepare compelling sales presentations, proposals, and follow-up correspondence.

Marketing Management:

  • Develop and execute social media strategies to enhance brand visibility and generate engagement.
  • Create engaging content for platforms such as Instagram, Facebook, LinkedIn, and property listing sites.
  • Design email marketing campaigns that drive client retention and attract prospective buyers or renters.
  • Research market trends and competitor activities to inform creative marketing strategies.

Property Management:

  • Serve as the first point of contact for tenants, resolving inquiries and maintenance requests promptly.
  • Coordinate with contractors, service providers, and vendors for property upkeep.
  • Maintain an updated inventory of rental properties, including descriptions, images, and pricing.
  • Assist in tenant screening and processing rental applications.

Finance and Bookkeeping:

  • Track property income and expenses to provide accurate financial reporting.
  • Assist with budget preparation and expense forecasting for property management.
  • Manage invoicing, rent collection, and vendor payments, ensuring accurate record-keeping.
  • Support the reconciliation of accounts and preparation of monthly financial statements.

Administrative Excellence:

  • Organize and maintain digital files, property records, and transaction documents.
  • Schedule and coordinate meetings, deadlines, and events across multiple calendars.
  • Document operational processes to enhance workflow efficiency and compliance.
  • Provide top-notch customer service via email, phone, and chat support.

 

Skills and Qualifications:

  • Experience: Minimum 2 years as a Virtual Assistant, preferably in the real estate industry.
  • Technical Proficiency: Advanced knowledge of tools such as CRM platforms (HubSpot, Salesforce), property management software (AppFolio, Buildium), and financial systems (QuickBooks, Xero).
  • Industry Knowledge: Strong understanding of real estate sales cycles, marketing strategies, property management best practices, and financial processes.
  • Communication Skills: Exceptional verbal and written communication to engage clients professionally and clearly.
  • Organizational Skills: Ability to multitask and prioritize projects while maintaining meticulous attention to detail.
  • Problem Solving: Proactive mindset with a knack for identifying challenges and implementing effective solutions.
  • Education: Bachelor’s degree in Business Administration, Real Estate, Finance, or a related field is preferred but not mandatory.
